HubSpot implementation for engineering firms

Do you run an engineering firm?

# From signed contract to approved CDs, without chasing anyone for status

Proposals eat billable hours. Scope changes go unbilled. Nobody knows what the project actually made.

**HubSpot your team actually uses, and that works for them.** Sales, delivery and finance in one system, with agents that tell each person what to do today. Take the whole template or just the parts you need.

Sales→Delivery→Finance

Business development, PMs and principals see the same pursuit, the same phase and the same invoice. The engineering template tracks go / no-go and proposal effort, runs projects by phase (SD, DD, CD), keeps permits, bidding and construction administration in parallel pipelines, bills per phase and includes AI agents. Built in about 10 days, plus 3 days of training.

Sound familiar?

## The week at an engineering firm

- Proposals and RFPs pull PMs off billable work, and nobody knows which pursuits are worth it.
- Scope changes get designed and never billed.
- You know the fee you booked, not the margin on each phase.
- Client relationships live with the principals. If one leaves, the clients follow.
- Permit and bidding status lives in someone's inbox.
- The owner says the change was approved, the PM says it wasn't, and a principal spends an hour digging through email to settle it.

A day at work

## Would you rather fill your calendar with 15-minute status meetings, or click once?

Here's what a normal day looks like for each person on your team once the template is running. No slides. The real system.

How it runs

## Your process, in the words your team already uses

The deal only shows your firm's own milestones. Anything that depends on someone else runs in its own pipeline, so it never muddies the deal or the forecast.

Permits, bidding and construction administration depend on agencies and contractors, so they run in their own pipelines. When a phase is approved, its invoice is triggered.

## Three modules on one base

Sales

### Your team knows who to call today

- Go / no-go on each pursuit, with the hours each proposal took
- Temperature and follow-up on every agency and client contact
- Contact stages apart from deal stages: the pipeline holds real pursuits only
- Relationships in the CRM, not in a principal's head

Delivery

### From won deal to delivered work

- The project opens at contract with scope and fee by phase
- Phase gates for SD, DD and CD
- Permits, bidding and CA as parallel pipelines

Requires Service Hub Pro

Finance

### What each project made, and who's at risk

- Hours and subconsultant costs roll up by phase
- Invoice triggered when a phase is approved
- Change requests priced and billed, not absorbed

Costs roll up on whichever object you use

**Base, always included:** your companies and contacts organized, your data migrated, your team set up.

Included in every setup

## AI agents that do the CRM busywork for your team

An agent is an AI assistant connected to your HubSpot. Your team gives it a short command, and it does the work they'd otherwise do by hand: opening records, deciding who needs attention, writing the follow-up, updating fields.

1

### Your rep types a command

For example `/today` at the start of the day.

2

### The agent reads your CRM

It checks every contact and deal: who replied, who went quiet, which deal hasn't moved, what data is missing.

3

### It prepares the work

A prioritized list, each item with the email drafted, the task created or the stage to move.

4

### Your rep approves

One click per item, or all at once. Only then does it update HubSpot.

Instead of opening dozens of records every morning to decide who to call, your rep reviews one list and approves. It works because the template keeps clear signals on every record: hot or cold, followed up or forgotten, complete or missing data.

### Examples of what the agents cover

We set the agents up for your process during the implementation, so the exact commands follow your pipelines and your team's words.

`/today`Who to call, which deal is cooling off and what's missing, with the emails and tasks already drafted.

`/log-call`Tell it what happened on the call, in your own words. It updates the contact, the deal and the next step for you.

`/prep-meeting`A one-page summary of the account before you walk in: history, open deals, open issues.

`/handoff`When a deal closes, it writes the project brief for the delivery team from what sales captured.

`/at-risk`Clients that went quiet or have open complaints, before they leave.

`/weekly-summary`What happened this week in sales, delivery and finance, in one page.

Included

### Agents with Breeze

HubSpot's own AI, with prompts built for your process. Nothing extra to buy, nothing to leave HubSpot for.

### Agents with Claude

Agents that reason across several steps and your whole CRM. Each person signs in with their own HubSpot user, so the agent can only do what they can.

What's the implementation process like?

## Fast, because we start with a head start

Days 1–5

### We talk to your team

We gather what we need to make the template yours. We start from a template, but it still has to fit you.

Day 10

### Head start

We've done this plenty of times. From the moment you sign, we know what has to be done.

Then

### We test it together

We walk through the whole process to make sure everything works as intended.

3 days

### Hardcore training

Written manuals, workflows and videos, plus training for your team.

### What we ask of your team

Time in the discovery sessions in the first week, the joint test and the 3 days of training.

### After go-live

Maintain it yourself with the manuals, or hand it to us with an optional monthly retainer. You're never locked in.

Who's behind this

## Hector Morales

Founder of SAP ASAP. He comes from sales, so every system starts from how a rep, a project manager and a finance lead actually spend their day. He led the HubSpot implementation at an international recruiting firm, built a packaging provider's operation in HubSpot with SAP and QuickBooks, and trained a software company's sales team. He designs and builds each system himself, so what you approve is what you get.

> "He not only understands the technical aspects of CRM configuration but also takes the time to understand our operational needs, ensuring that the system truly supports our business goals."
>
> Daniela Garza, Vice President Corporate Services, Visa Solutions

> "He's a strategic partner who is able to come up with creative solutions and strategic approaches, exceeding my expectations every time. If you get the chance to work with Hector, jump at it."
>
> Jill Kampes, Vice President of Sales and Operations

> "He trained Digital Alchemy's junior sales team, equipping them with prospecting techniques and practical sales frameworks. \[...\] Thanks to his guidance, our team achieved significant progress in just a few months."
>
> Raúl Falquez, Regional Lead, Latin America, Digital Alchemy

Still curious?

## The questions everyone asks

Can I take just one module?

Yes. The base always comes with it. The modules are your call.

We don't have a CRM at all.

That's where most of our clients start. The base sets up your account and migrates what lives in spreadsheets and inboxes today.

We already have HubSpot. Does this work?

Yes. We build on your portal and your data.

Do I need to pay for Claude?

No. Agents with Breeze are included. Claude is an optional upgrade.

Who pays for the HubSpot licenses?

You do, straight to HubSpot. Our business isn't peddling licenses.

What if I don't take the retainer?

You keep the manuals and maintain everything yourself, agents included.

Do you haggle?

No. We don't add "a little bit" to the proposal for whenever someone asks for a discount, and we don't charge by the hour. We sell a result, and we want to give it to you ASAP.

Are you HubSpot or SAP partners?

No. We will be, but our business model is digitizing better versions of processes, and we think HubSpot and SAP are the best tools on the market to do it.

Where are you located?

Our team is spread across Panama, Mexico and Venezuela. We can bill you from Mexico or Panama.
